Email Communications Policy

When an email communication comes in to office@ or trustees@ or one of the
other TDN group email addresses…

  1. Emails to office@ and trustees@ will be forwarded to Trustees, and may be read by any or all of them.
  2. The Trustees have nominated Jon Grundy (Green Raven) to take the lead in responding as required to enquiry emails. Other Trustees may at need take over, but in all cases responses will be copied to the trustee distribution list.
  3. If consensus is sought as to a response, the email will be circulated to Trustees with an invitation to discuss the contents. Such discussions will generally be swift, but if there is likely to be a delay then a holding email will be sent, in the form as given here:

    “TDN acknowledges your email and it is being discussed for any action and response. We are a wholly volunteer organisation and as such most of us are otherwise committed. We will do our best to respond no later than one calendar week from this email and usually much sooner, but please be patient and only re-­‐send your enquiry if nothing has been heard after that time. The trustees of The Druid Network.”
  4. Emails and how they have been dealt with – if they have been or needed to be – form a part of the monthly Trustee Meeting Agenda. Details of these emails will not be divulged in published Minutes except in the broadest terms necessary.
  5. If a matter cannot be fully resolved through initial response, or by discussion, it will be taken up as a matter at the next Annual General Meeting (Spring Gathering), where it will be discussed as appropriate with the voting membership. If a consensus or majority decision is still not made, the Chair will make the final decision.
  6. This policy should be reviewed annually at AGM, or when deemed necessary.
